Effective date: 10/31/2026. Last updated: 10/31/2026.

This Acceptable Use Policy (“Policy”) applies to everyone who uses The Business Assistant™ and the related websites and services (the “Service”), operated by Deep South Data, LLC (“we”, “us”). It is part of your license agreement. If this Policy and the license agreement conflict, the license agreement controls.

Who is responsible

The company that subscribes to the Service is responsible for everything done under its account, including by its users, and by any adviser or accountant it has allowed to sign in. Administrators must keep their user list current and remove people who no longer need access.

What you may do

Use the Service to run your own lawful business: accounting, quoting, invoicing, purchasing, inventory, time and payroll records, reporting, and the work that goes with them. Advisers may use it to serve the client companies that have given them access.

What you may not do

Unlawful or harmful use

  • Break any law or regulation, including tax, payroll, consumer-protection, export-control and sanctions laws.
  • Keep false books or records, or use the Service to hide income, launder money, commit fraud or evade taxes.
  • Store, send or publish content that is unlawful, defamatory, harassing, threatening, or that infringes someone else’s rights.
  • Send spam, or send email through the Service to people who have not agreed to hear from you.

Security and access

  • Try to get into any account, company, server or data you are not authorized to use.
  • Probe, scan or test the Service for weaknesses, or bypass or disable a security control, without our written permission. To report a vulnerability, see the Security page.
  • Share a login between people, or use a shared login to avoid the user and concurrent-user limits on your plan.
  • Turn off, work around or help others work around multi-factor sign-in.
  • Upload malware or anything designed to damage, intercept or take over a system or data.

Misuse of the Service

  • Overload or disrupt the Service, including automated or scripted access that is not part of a feature we provide.
  • Copy, resell, rent, sublicense or white-label the Service, or build a competing product from it, except as your license agreement allows.
  • Reverse engineer, decompile or extract the source code, except where the law allows it despite this restriction.
  • Remove or hide our notices, or misrepresent who you are or your authority to act for a company.
  • Use the Service to store data that must be handled under rules we have not agreed to support, such as protected health information, unless we have agreed in writing.

Payments and payroll

  • Use the card-payment features to charge people without their authorization, to process payments for a business other than your own, or for prohibited businesses under our payment processor’s terms.
  • Enter payroll, tax or bank information you are not entitled to handle.

Advisers

Advisers may only act within the access level a client company has given them (Off, View only, Standard or Administrator), and may not change a client’s subscription or payment setup unless the client has allowed it. Advisers may not use client data for any purpose other than serving that client.

Enforcement

We may investigate suspected violations. Depending on how serious the violation is, we may warn you, limit features, suspend sign-in for a user or a company, or end the account. Where it is practical and safe to do so, we will tell you first and give you a chance to fix the problem. We may act immediately, without notice, to stop an attack, protect other customers, or comply with the law.

We may report unlawful activity to the authorities and cooperate with their lawful requests. Suspending or ending an account for a violation does not entitle you to a refund. We will let you export your company data for thirty (30) days after an account ends, unless the law or the nature of the violation prevents it.

Reporting a problem

To report abuse or a suspected violation of this Policy, write to [email protected].

Changes

We may update this Policy. We will post the new version here with a new date, and for material changes we will also notify company administrators by email. Continued use after the effective date means you accept the update.
