# Academy 3. Working with Records

*TBA Foundation · Lesson 3 of 9 · about 1½ hours*

## After this lesson you can

- Search before you add, so you do not create duplicates.
- Explain why TBA voids posted records instead of deleting them.
- Add attachments and use comms on a record.
- Use the audit log to see who changed what.

## Why it matters

Most mistakes in business software are duplicate records and "fixed" history. TBA is built to prevent both, and the habits in this lesson keep your records trustworthy.

## Read

- [The Basics](https://theasst.com/docs/the-basics/)
- [Attachments and Pictures](https://theasst.com/docs/attachments-and-pictures/)
- [Audit Event Log](https://theasst.com/docs/audit-event-log/)

## The big picture

Pages come in three kinds: **lists** and **Find** pages to look things up, and **edit** pages for one record. Always search first. When a record has been posted to the books (an invoice, a payment, a bill) you do not delete it: you **void** it. A void reverses the accounting and leaves a visible trail, so the books still balance and you can always see what happened. Records can carry **attachments** (files and photos) from the left sidebar, and **comms** keep notes, calls and emails with a client, order or invoice. The **audit event log** shows who did what and when, including the history of one record.

## Try it

1. Search for a client by part of their name. Then try one that does not exist.
2. Attach a photo to a record.
3. Open the history of one invoice in the audit log.

## Check yourself

Can you explain, in a sentence, why a posted invoice is voided and not deleted? A practice quiz and certification exams are planned for a later release.
