# Client Average Days to Pay

The **Client Average Days to Pay** report shows how long each client takes to pay you: the number of days from an invoice's date to the day it was paid in full. Open it from **Clients > Client Reports > Client Days to Pay** or **Reports > Client Reports > Client Days to Pay**. It needs the financial reports permission.

## Running it

1. Choose **All Clients**, or **One Client** and pick the client.
2. Choose the **Dates**: *All Dates*, *This Year*, or *Custom* (then enter From and To). The dates are **invoice dates**, so the report covers invoices written in that range, however late they were paid.
3. Choose how to **Sort**: by client name or by days to pay, ascending or descending. Sorting by days to pay, descending, puts your slowest payers first.
4. If your company has more than one site, you can limit the report to one **Site**.
5. Click **Refresh Report** in the sidebar.

## What each column means

- **Paid invoices** – how many of the client's invoices have been paid in full.
- **Avg days to pay** – the average number of days from invoice date to the day of the last payment, over those paid invoices.
- **Fastest** and **Slowest** – the quickest and slowest single invoice.
- **Total paid** – the amount invoiced on the paid invoices.
- **Open invoices** and **Open balance** – invoices not yet paid in full, and what is still owed on them.

The *Overall* line at the bottom gives the same figures for all the clients shown.

## How the days are worked out

- An invoice counts as paid when its payments reach its total. Its days are the date of its **last payment** minus the invoice date.
- If a payment was taken before the invoice was written (a deposit, for example), the invoice counts as 0 days, never a negative number.
- **Open invoices are counted separately and are never part of the average.** A client with one slow unpaid invoice does not have it pulled into the average until it is paid; look at the open count and balance instead.
- Voided invoices and invoices with a zero total are left out.
- An invoice that shows as paid but has no dated payment applied to it (for example, a balance carried over some other way) is left out, because there is no payment date to measure to.

## Drilling down

- Click a client to see its invoices: invoice number, invoice date, due date, paid date, days to pay, amount and balance.
- Click an invoice to open it.

## Exporting

**Export PDF** and **Export to Excel** in the sidebar produce the report. Leave *Include each client's invoices in the PDF and Excel exports* ticked to get every client's invoice list under its line; clear it for a one-line-per-client summary.

## Tips

- Compare the average with your clients' [payment terms](/docs/payment-terms-setup/): a client on Net 30 who averages 55 days is a candidate for a reminder or a changed term.
- For what is owed right now, use the [AR Aging](/docs/ar-aging/) report; this report looks back at how long invoices took to pay, not at what is outstanding today.

## Your Checkbox Settings Are Remembered

Two checkboxes sit under the filters:

- **Include each client's invoices in the PDF and Excel exports** -- on by default.
- **Show the total amount paid** -- off by default. When it is unchecked, the **Total paid** column (and the Total paid figure on the *Overall* line) is hidden on the screen. Check it to show that column. The PDF and Excel exports always include Total paid.

Both settings are saved **per user**: when you change one, TBA remembers it, and the next time you open this report it comes back the way you left it. Other users keep their own settings.

## The Chart

Above the table, a bar chart shows the ten clients who take the longest to pay, longest average first. Only clients with at least one paid invoice appear. Click a bar to open that client's invoices, the same as clicking their row. Tick **Include chart** in the sidebar to add the chart to the PDF or Excel export. (It is left out of the Excel export if **Do not format Excel export** is also ticked.)
