Some work in TBA happens by itself overnight. Setup > Company > Nightly Schedule shows, for your company, each of those jobs, when it runs, what it will do at the next run, and how the last few runs went. It needs the Setup view permission.
The nightly jobs #
- Recurring invoices – creates each recurring invoice that has come due, charges the client’s card on file when the series has one, and emails the client.
- Leave accruals – adds the vacation, sick and other leave earned under each active leave policy, up to today. It is safe to repeat; nothing is added twice. (You can also run it yourself from Leave Balances.)
What each job’s card shows #
- Runs every night at – the start time, and the date of the next run. The start times are set by Deep South Data for the server, not by you.
- At the next run – what is waiting. For recurring invoices, how many are due, about how much they come to, how many will be charged to a card on file, and the next several series by date. For leave accruals, how many policies will be checked and for how many employees.
- Recent runs – the last ten runs for your company: when it started and finished, the result, and a short description of what it did (for example 3 due; 3 invoices generated (2 paid, 1 declined, 0 manual collection)).
Reading the result #
- OK – the job ran and nothing needed attention.
- Needs attention – the job ran, but something failed along the way, such as a card that was declined.
- Failed – the job could not run for your company.
If a job shows no recent runs, or its last run is more than a day old, tell Deep South Data support; it means the nightly run is not happening on your server.

Exporting #
Export PDF and Export XLSX in the sidebar produce the same information as the page: each job, its next run and what is waiting, and the recent runs. As on other reports, tick Do not format XLSX export for a plain spreadsheet with one row per run (job, next run, what is waiting, started, finished, result, items, failures, what it did), ready to sort or filter.
Where to find it #
Open it from Reports > System Reports > Nightly Schedule (also a tile on the Reports page), or from Setup > Company > Nightly Schedule. Both need the Setup view permission.
